About the Role
The Work Health and Safety Organisation, a prominent player in the pharmaceutical and healthcare sector, is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Chief Executive Officer. This pivotal role is based in the vibrant city of Accra, Ghana, and involves a direct, one-on-one working relationship with the CEO, requiring exceptional administrative and organizational skills.
Duties and Responsibilities
- Manage the CEO’s calendar, appointments, travel arrangements, and expense reports.
- Prepare confidential correspondence, reports, and presentations.
- Act as a gatekeeper, managing access to the CEO and prioritizing engagements.
- Ensure the CEO is well-informed of upcoming commitments and key issues.
- Coordinate and follow up on tasks, projects, and deadlines on behalf of the CEO.
- Facilitate effective communication between the CEO and internal/external stakeholders.
- Handle sensitive information with discretion and professionalism.
- Serve as the primary liaison between the CEO and the Board of Directors.
- Coordinate board meetings, including scheduling, documentation, and logistics.
- Ensure timely distribution of board materials in compliance with governance requirements.
- Support board members with travel and meeting arrangements.
- Maintain strict confidentiality in all board-related matters.
- Support the Executive Team in scheduling and coordinating meetings.
- Assist in preparing agendas and materials for senior management and off-site meetings.
- Attend meetings where required and track action points.
- Maintain and update the CEO’s profile and organizational materials.
- Review and analyse reports (Finance, Sales, HR, Operations, etc.) and highlight key insights.
Qualifications and Requirements
- Proven experience as an Executive Assistant or in a similar senior administrative role.
- Exceptional organizational and time-management skills.
- Proficiency in calendar management, travel coordination, and expense reporting.
- Excellent written and verbal communication skills.
- Discretion and professionalism in handling confidential information.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Strong understanding of board governance and meeting coordination.
- Familiarity with report analysis and presentation preparation.
