About the Role

The Work Health and Safety Organisation, a prominent player in the pharmaceutical and healthcare sector, is seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the Chief Executive Officer. This pivotal role is based in the vibrant city of Accra, Ghana, and involves a direct, one-on-one working relationship with the CEO, requiring exceptional administrative and organizational skills.

Duties and Responsibilities

  • Manage the CEO’s calendar, appointments, travel arrangements, and expense reports.
  • Prepare confidential correspondence, reports, and presentations.
  • Act as a gatekeeper, managing access to the CEO and prioritizing engagements.
  • Ensure the CEO is well-informed of upcoming commitments and key issues.
  • Coordinate and follow up on tasks, projects, and deadlines on behalf of the CEO.
  • Facilitate effective communication between the CEO and internal/external stakeholders.
  • Handle sensitive information with discretion and professionalism.
  • Serve as the primary liaison between the CEO and the Board of Directors.
  • Coordinate board meetings, including scheduling, documentation, and logistics.
  • Ensure timely distribution of board materials in compliance with governance requirements.
  • Support board members with travel and meeting arrangements.
  • Maintain strict confidentiality in all board-related matters.
  • Support the Executive Team in scheduling and coordinating meetings.
  • Assist in preparing agendas and materials for senior management and off-site meetings.
  • Attend meetings where required and track action points.
  • Maintain and update the CEO’s profile and organizational materials.
  • Review and analyse reports (Finance, Sales, HR, Operations, etc.) and highlight key insights.

Qualifications and Requirements

  • Proven experience as an Executive Assistant or in a similar senior administrative role.
  • Exceptional organizational and time-management skills.
  • Proficiency in calendar management, travel coordination, and expense reporting.
  • Excellent written and verbal communication skills.
  • Discretion and professionalism in handling confidential information.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong understanding of board governance and meeting coordination.
  • Familiarity with report analysis and presentation preparation.
