About the Role: Executive & HR Assistant – Middle East
Frequentis, a global leader in communication and information systems for safety-critical control centres, is seeking a dynamic Executive & HR Assistant to join our Middle East team in Abu Dhabi. This pivotal hybrid role directly supports the Managing Director of Frequentis Middle East, ensuring seamless daily operations and bolstering local HR initiatives. You will serve as a crucial link between the regional operations, our Vienna headquarters, employees, and external partners, directly contributing to efficient business functions and the achievement of both strategic and operational goals. Key Tasks and Responsibilities
- Serve as a dedicated staff function to the Managing Director, expertly coordinating and prioritizing tasks across our UAE sites in Dubai and Abu Dhabi.
- Cultivate and manage relationships with local authorities and essential external partners, including Free Zone Authorities, banks, insurance providers, legal advisors, and various service providers.
- Meticulously organize, prepare, and follow up on management meetings, workshops, and internal projects, ensuring the effective implementation of all management decisions.
- Assume full responsibility for comprehensive office management, encompassing detailed scheduling, seamless travel coordination, successful event organization, and a wide range of administrative duties.
- Provide robust support for HR processes and strategic initiatives, including the recruitment and onboarding of new talent, and collaborate closely with Group HR on HR project implementation.
- Act as the primary HR point of contact for all local employees, offering clear guidance on HR procedures and pertinent labor law matters.
- Develop, maintain, and enhance content for internal communications and employer branding efforts, including the Frequentis Middle East landing page and regular newsletters.
- Guarantee the accuracy of all documentation, reporting, and the strictly confidential handling of highly sensitive information.
Qualifications and Requirements
- A solid educational background in business administration, human resources, or a closely related discipline.
- A minimum of 3-5 years of proven experience in a similar executive support and HR coordination role.
- Ideally, experience gained within an international corporate environment or a technology-focused sector.
- Exceptional organizational and time-management skills, with the ability to multitask effectively.
- Strong interpersonal and communication skills, both written and verbal, with a professional demeanor.
- Proficiency in relevant office software and HR information systems.
